You will be a touch typist with a minimum 65 wpm copy typing speed, and maintaining proficiency in IT systems and procedures.
Effectively performing admin tasks as requested by fee earners, possessing full understanding of the firm's house style to produce accurate documentation as well as the ability to prioritize work.

We are looking for an outstanding legal secretary to join the busy Abu Dhabi office of an international law firm. You will do various secretarial and administrative tasks to support assigned two partners and three lawyers, ideally for a January 2024 start date.
The role is due to a departure in their Abu Dhabi office, and they require the secretary to be technically strong, experienced with handling bills every month, and have a proactive approach.
Role involves:
Providing a high level of client care and support while producing a high volume of consistently excellent work.
- Maintaining a general knowledge of the Firm's practice areas/groups and a specialised knowledge of the assigned attorneys’ practice areas and clients to enhance and promote communication between attorneys and their clients and to provide excellent and personalised client care to support attorney/client relationships.
- Prints various documents including, scanning and sending single and multiple documents using digital sender, multi-function device (MFD). Sends copies of documents via the Firm’s external email program with appropriate disclaimer. Sends emails with administrative rights on behalf of the attorney as requested.
- Through ongoing professional and on-the-job training, continues to build upon a solid knowledge of legal secretarial processes, procedures and technologies required by the legal secretarial profession and the Firm's practice areas/groups.
- Following the Firm's established document processing methods and procedures, creates, spell checks, edits, and proofreads work products to ensure accuracy and completeness. Transcribes handwritten materials and/or dictation. Prepares and creates new documents, presentations, spreadsheets and so forth. Has excellent knowledge of correct formatting techniques.
- Preparing matter openings, conflict checks, and arranging for matter closings. Coordinates with the Support Services for file retrieval and the maintenance of the Firm’s master files for all matters on which the attorney works. Sets up and maintains attorney’s work files, including regular filing. Prepares files for central storage and/or storage off-premises using the Firm's electronic records management system.

We are looking for a min 3 years of legal secretarial/PA experience at partner level.
Salary ranges from 24,000 to 30,000 AED per month. Benefits include working from home every Friday. They also pay an annual discretionary bonus, top international (excluding America) medical, optical and dental for self and dependents and annual flight home for self and other benefits.

Overview Of Role

- Manage filings with all internal and external bodies
- Organise documents for Private and Mutual Fund entities to be uploaded for registration through the Government Portal.
- Assist in the termination of funds to include the drafting of relevant documents, ensuring all fees paid , notices filed and published and liaising with Government bodies to complete termination.
- Liaise with the Registered Office in respect of Entity filings, dealing with service requests and ensuring relevant documents are sent for adding to the minute book
- Undertaking the apostilling and legalisation of corporate documents (without limitation) advising clients on the necessary steps and procedures, fee quotation, preparation of notary certificates and liaising with relevant government authorities to facilitate the legalisation process
- Billing support including drafting of billing narratives; assisting with collections, liaising with Clients and Accounts Department
- Responding to internal and external telephone and email enquiries, and ensuring timely responses in a professional and polite manner
- Photocopying and scanning of documents and correspondence
- Diary management including scheduling client meetings, preparing agendas and ensure logistics are handled smoothly
