- Calendar & Travel: End-to-end management of a complex diary, visas, flights, hotels, and ground transport.
- Meeting & Board Prep: Draft agendas, briefings, minutes, and follow-up actions for internal/external meetings and quarterly board packs.
- Communication Hub: Draft high-impact emails, presentations, and reports in English and German; translate sensitive documents when needed.
- Project Tracking: Monitor CEO priority projects, chase deadlines, and flag risks early.
- Stakeholder Liaison: Act as the first point of contact for investors, senior leadership, and key partners ensuring a professional experience in both languages.
- Confidential Admin: Manage expense reports, legal docs, and NDA filings with absolute discretion.
- Event Coordination: Organise leadership off-sites, investor roadshows, and VIP visits.
- 5+ years supporting a C-level executive, ideally in tech, e-commerce, or automotive.
- Native-level German and fluent English (written & spoken).
- Bachelor's degree (Business, Communications, or similar).
- Mastery of Google Workspace / MS365 and virtual-meeting tools.
- Strong business writing, slide-deck, and data-presentation skills.

time (TAT).
• Ensure data is cross-checked with source files and client-provided templates before submission.
• Maintain 100% accuracy and completeness in all data processing tasks.
• Receive, verify, and sort incoming documents (digital or hard copy) before upload.
• Upload all documents into the e-filing system within 24 hours of receipt, in the correct format and category.
• Maintain an organized digital filing system and assist with routine file audits.
3. Support for Post-Sales Operations
• Process sales forms, amendments, transfers, or customer updates as per the client’s standard operating procedures.

4. Coordination & Communication

• Update task status in the daily tracker and confirm completion of assigned entries.
