The HR Officer must provide an effective people-related support function to the school, and to be the key point of contact for new, current, and exiting staff in relation to all employment matters. They will be required to continuously strive to exceed internal & external customer expectations while embracing the Aldar Education Core Values. They need to embody the values, vision and ethos of Aldar Education and assist the Principal in implementing processes and policies which will ensure high-quality and successful outcomes.
Responsibilities
Main Duties:
  • Be the primary point of contact for all school staff on HR queries, including contracts, terms and conditions, payroll, housing, HR policies and entitlements.
  • Support SLT in the effective attraction and recruitment of school-based staff.
  • Manage the onboarding process for all incoming staff, including pre-employment communication to ensure new starters are aware of the requirements for their role and for working and living in the UAE.
  • Coordinate and manage employee exit processes, liaising with the Operations teams.
Specific Duties:
Talent Acquisition & Onboarding
  • Utilise Oracle (or other ATS) to advertise and manage vacancies and candidate lifecycles.
  • Advertising, screening, shortlisting, interview management and candidate tracking for all school staff in support of the Heads of School.
  • Conduct pre-employment safer recruitment checks for all staff, including references and suitability/police clearances and ensure appropriate follow-up based on each case.
  • Coordinate new starter induction in school, and ensure communication takes place pre-employment.
  • Manage the onboarding of school-based staff, liaise with IT for relevant systems/email set-up and processing staff ID cards.
  • Coordinate ADEK pass applications and processing for new staff, ensuring clarity of timelines and providing guidance and support where required.
  • Coordinate the visa and work permit applications and processing for new staff, ensuring they are aware of their requirements, in line with group-wide guidance and in collaboration with the HQ HR & Public Relations teams.
  • Ensure the school’s recruitment activity is in line with the staffing headcount.
  • Create and issue offer letters, contracts, contract renewals and associated documentation in line with the group-wide terms and conditions and policies.
  • Responsible for booking any flights/hotel and raising relevant PRs.
  • Responsible for updating and maintaining accurate data for On-boarding new staff.
Performance Enablement:
  • Coordinate the school’s probationary processes in accordance with group-wide policies and processes.
  • Coordinate performance review and appraisal cycles in accordance with group-wide policies and processes to support the SLT in achieving a high-performance culture.
  • Track and provide reports to HQ HR on all key performance cases.
  • Professional development – monitor, book and track PD for school staff and provide reports as requested by the SLT, School Ops Manager and HQ HR HR Operations.
HR Operations:
  • Health Insurance applications, renewals, cancellations and associated management for all school staff in coordination with HQ Public Relations team.
  • Management and reporting of staff time and attendance, including managing the time and attendance systems.
  • Responsible for issuing NOCs and other relevant staff letters (e.g. Bank, Government, Immigration, experience letters etc).
  • Keep the School’s organization chart up to date and ensure that HQ are aware of any changes.
  • HR KPIs - collate people metrics based on the Aldar Education HR KPI requirements and provide reports on a monthly and ad-hoc basis, including but not limited to absence, turnover, PD, recruitment activity, disciplinary and performance management cases, compliance rates (visas and ADEK pass etc).
  • Process exiting staff as leavers and ensure all associated exit procedures are completed, including liaison with HQ payroll for the calculations of full and final settlements, and associated housing closeout procedures.
  • Responsible for ensuring all resigned staff have correct acknowledgement letter and all relevant documents collated.
  • Maintain up to date confidential employment records and staff files on site at school.
  • Maintaining HR systems and ensuring they accurately reflect the staffing within the school.
  • Monitor and maintain CTC, ensuring agreed headcount is correct.
  • Participate in group-wide HR meetings in order to share knowledge, best practice and to ensure consistency within group standards.
Employee Relations:
  • Support the SLT with investigations and disciplinary management of staff, ensuring accurate records of cases are kept within confidential employment files.
  • Provide advice, counsel and guidance to employees on relevant issues and escalate to SLT or HQ HR where required.
  • Provide support to SLT in managing informal ER cases in accordance with group-wide policies and standards.
  • Any other duties as reasonably expected.
Qualifications
Minimum Qualifications:
  • Minimum bachelor's degree in Human Resources or similar.
  • Related industry qualification, of graduate level, for the assigned functional area(s).
  • Recognized HR Qualification and/or professional subscription (eg CIPD) desirable.
Minimum Experience:
  • Minimum 4 years in HR or Recruitment in any industry or;
  • 2 year in Generalist HR within a service-related industry.
  • School HR experience of high advantage.
Job Specific Knowledge & Skills:
  • Sound working knowledge of UAE Labour Law.
  • Competent using IT systems, including Microsoft Word/Excel/Outlook.
  • Strong organizational and prioritisation skills.
  • Experience liaising with government bodies in the UAE as well as a working knowledge of HAAD and Immigration requirements and processes.
  • Fluent Arabic & English communication skills, written and oral essential.
  • Attention to detail with diligent follow up, and able to execute in a timely manner.
  • Skilled in multi-tasking and handling pressure.
  • Organizational ability, of self and others.
  • Forethought and forward planning (particularly as this relates to local Government compliance matters).
  • Capable of influencing people and talented in networking with cultural sensitivity.
  • Excellent interpersonal skills.

Specific Duties

Teaching and learning:

  • Motivating pupils with enthusiastic, imaginative teaching.

  • Meeting with other professionals such as speech and language therapists, occupational therapists and educational psychologists, if required.
  • Ensure the Seer Bani Yas Teacher and Learner DNA language and attitudes are being embedded throughout the curriculum

Assessment and data:

  • Taking responsibility for the progress of a class.
  • Meeting requirements for the assessment and recording of student's development using Target Tracker.
  • Using data provided by assessments to influence further planning, provision, and intervention.
  • Providing feedback to parents and careers on a student's progress at Parent Teacher Conferences and other meetings.

Behavior management and duties:

  • Follow the school's behavior policy.
  • Manage classes effectively, using approaches which are appropriate to students' needs to inspire, motivate and challenge pupils.
  • Maintain good relationships with pupils, exercise appropriate authority, and act decisively, when necessary, within the school's behavioral policy.
  • Be a positive role model and demonstrate consistently the positive attitudes, values, and behavior, which are expected of pupils.
  • Have high expectations of behavior, promoting self-control and independence of all learners.
  • Carry out duties as directed and within the school's policy.

Wider professional responsibilities

  • To work as part of a curriculum action group, supporting planning, assessment, resources, and special events linked to that team.
  • Support the organizing and taking part in school events, outings and activities which may take place at weekends or in the evening.
  • Communicate effectively with parents/careers with regards to student's achievements and well- being using school systems/processes such as CPOMS as appropriate.

The Global Registry and Academic Support Directorate supports our students and staff across the full student life-cycle from enrolment to graduation.

The Directorate has responsibility as the definitive record-keeper of all student information programme and course details as well as leading services that help students settle and stay at the University. This includes providing professional help and advice through a range of support and wellbeing services.

The Directorate supports academic and professional services staff across the University in a number of areas including: academic institutional and student related Regulations and Policies and global national and institutional quality matters.

It delivers these services through five Divisions each managed by a Global Head and two Heads of Campus Registry and Student Services:

  • Student Life
  • Online Students
  • Academic Operations
  • Academic Quality
  • Academic Secretariat Regulation and Policy
  • Head of Registry & Student Services Dubai Campus
  • Head of Registry & Student Services - Malaysia Campus

The Academic Operations Division is made up of four areas:

  • Timetabling & Scheduling: Coordinates with the Schools to develop and deliver a balancedteaching timetable and manages resource bookings to optimize use of space across campus.
  • Exams & Graduation: Coordinates logistics for final exams including the exam timetable trainingand allocation of invigilators and exam registration. Manages and prepares for Dubai graduationceremonies in coordination with the team in Edinburgh.
  • Post-graduate Research Administration: Provides administrative support for processes related tothe post-graduate research student journey.
  • School Academic Support Administration: Provides centralized administrative support to Schoolsfor Learning & Teaching activities including record keeping logistical arrangements for AcademicReviews and accreditation visits preparations for exam boards etc. as well as generaladministrative tasks such as appointment booking travel arrangements minute taking etc.

Purpose of Role

The Academic Support Administrator provides administrative support to the Schools for Learning & Teaching activities including record keeping logistical arrangements for quality processes (eg Academic Reviews) preparations for exams preparations for progression and exam boards and clerk for key Learning & Teaching related meetings. In addition the Academic Support Administrator provides prompt and professional service to a wide range of stakeholders including students parents staff and external entities. The post-holder investigates and resolves inquiries explains University rules policies and procedures and per regulations. The post-holder will work as part of the School Academic Support Administration unit under the direction of the Head of Registry and Student Services (Dubai Campus).

Summary of Key Duties and Responsibilities:

  • Provide administrative support for Learning & Teaching activities within the Schools and the Registry and Academic Support Directorate.
  • Provide professional customer service in all interactions.
  • Communicate effectively by phone email and in-person in a professional and tactful manner; respond promptly and accurately.
  • Provide accurate information and assistance to stakeholders on University rules policies and procedures as it relates to the Schools and Learning & Teaching Activities.
  • Investigate and resolve inquiries. If outside the scope of the role connect the stakeholder with the relevant recipient/staff.
  • Maintain accurate and complete School records related to Learning & Teaching activities.
  • Support the examination process which may include examination paper preparation photocopying archiving scripts sending examination papers to external examiners liaising with Academic staff and coordinating exam adjustments for students of determination.
  • Collate and layout coursework exam scripts and dissertations for External Examiners to view prior to exam boards or for accreditation/review panels.
  • Archive coursework exam scripts and dissertations and arrange for coursework exam scripts and dissertations to be destroyed as outlined in the Universitys data management policies.
  • Provide administrative and logistical arrangements for quality processes such as Academic Reviews and accreditation activities.
  • Clerk Learning & Teaching related meetings such as progression and exam boards. This includes meeting arrangements preparing and circulating agendas necessary documentation and reports and minute-taking.
  • Enter exam/coursework marks.
  • Upload personal tutor details to Banner.
  • Contribute to the development and drafting of procedural documents in line with School Campus and University policies.
  • Update programme handbooks.
  • Help with planning preparing and implementing various Registry and Academic Support events such as induction enrolment course registration and graduation.
  • Review student enrolment and course registration; follow up to ensure students are enrolled and properly registered.
  • Assist academic staff with attendance records and issue attendance warnings to students.
  • Provide administrative support for School-level student appeals complaints and academic misconduct.
  • Guide the Student Service Centre to process course transfers course change forms and other academic related changes to the student record in Banner.
  • Send announcements to relevant student groups as instructed by academic staff and the Academic Operations Division.
  • Maintain confidentiality of University and student records at all times.
  • Prepare compile and maintain regular reports and records as well as complete ad hoc requests.
  • Other duties as assigned to support the mandate and goals of the Registry and Academic Support Directorate and the wider University.
