Role Description

The Event Sales & Project Manager will be responsible for generating revenue and business growth whilst overseeing the planning, execution, and completion of projects related to conferences and exhibitions. Event Concept Development and Planning:

Proposal Creation and Client Engagement:

  • Develop customized proposals for government, semi-government, and private organizations based on RFP requirements.
  • Maintain strong client relationships to secure ongoing partnerships and collaborations.

On-Site Event Supervision:

  • Oversee all phases of the event, from setup to teardown, ensuring adherence to health and safety standards.
  • Manage on-site logistics and resolve any issues that arise promptly.

Marketing and Promotion:

  • Collaborate with the marketing team to create and implement tailored event marketing strategies.

Sponsor, Partner, and Exhibitor Management:

  • Manage relationships with sponsors, partners, and exhibitors, ensuring all deliverables and requirements are met.
  • Handle necessary permits and requirements related to sponsorships and partnerships.

Supplier and Production Oversight:

  • Manage supplier relationships, oversee production, supervise the quality of materials, conduct negotiations, and provide detailed briefings.

Permits and Insurance:

  • Process event permits, speaker permits, and event insurance to ensure all necessary documentation is in place.

Research and Program Development:

  • Conduct research to develop scientific programs, including sourcing speakers, determining relevant topics, and establishing event themes.

Key Qualifications & Skills

  • Bachelor's degree in Business Administration, with a minimum of 5-6 years of experience in event operations and management.
  • Experience in B2G Sales/bidding sales is a plus.
  • Experience in budgeting and cost management.
  • Ability to supervise and ensure health and safety compliance during events.
  • Skilled in proposal development and responding to RFPs.
  • Bilingual proficiency in English and Arabic.

POSITION SUMMARY

Update information board on a regular basis to inform employees of important events. Provide assistance and guidance to employees who are struggling with job duties (e.g. low package sales numbers). Assign lead calls or emails to Sales Executives based on line rotation. Create spreadsheets to organize information related to Sales and Marketing activities (e.g. mailing lists tours). Enter retrieve reconcile and verify information in software involved in the sales process. Contact appropriate individual or department as necessary to resolve guest calls requests or problems. Promote awareness of brand image internally and externally. Use sales techniques that maximize revenue while maintaining existing guest loyalty to Marriott including up-selling. Reporting to the Director, Event Sales & Services, the Event Service Manager is responsible for the servicing of group business with ranging sizes and markets. This position is also responsible for selling and servicing local and social catering events ranging in size and market.

  • Ensure all department standards are being met
  • Assist in problem solving with the Sales Department, including Group Sales Managers, Revenue, and coordinators and assist with client resolution when needed
  • Provide detailed resumes and Banquet Event Orders for each event to ensure all important information is communicated to the all departments, including 3rd-party outlets
  • Prospect and solicit local accounts for catering events
  • Conduct site tours for event prospects and existing clients
  • Attend weekly pick up meeting and manage room blocks for all assigned groups
  • Attend BEO & Resume meetings to ensure all event details are properly communicated to support departments in a timely and efficient manner
  • Walk event space to ensure proper set up and all requirements per the Banquet Event Orders
  • Meet with event contacts for pre-planning, on-site, and post-meeting critiques
  • Represent the hotel in a positive manner, on property and in the community
  • Maintain working knowledge of all departments in the hotel
  • Meet Food and Beverage revenue goals through maintaining business on the books and upselling
  • Knowledge of trends in order to make recommendations for pricing/menus/service
  • Available to work weekends and holidays as needed
  • Work with other members of the Sales and Revenue Department as needed

Qualifications

YOUR EXPERIENCE AND SKILLS INCLUDE:

  • 3 years of combined Hotel event experience
  • Previous experience in a luxury or 4 diamond/4-star establishment preferred

  • Works well under pressure in a fast paced and constantly changing environment
  • Ability to multi-task
  • Strong selling skills to include negotiation and the closing process
  • High level of creativity, enthusiasm and flexibility
