Job Brief

The incumbent is accountable to facilitate the receiving, moving, and clearing of materials from the ports. They also manage the imports through the delivery system efficiently and safely to ensure a smooth and effective distribution process.

  • Adhere to all Zahrawi Policies & Procedures as applicable.

Warehouse Coordination:

  • Receive, move, and store incoming products after clearing or local direct purchase.
  • Check and inspect all products received and ensure no products are damaged or missing.
  • Report the status of incoming shipments to the concerned WH Coordinator and inform them of any delays (with the reason for the delay).
  • Sort and store the products in their designated areas (racks, shelves, or bins) according to the predetermined sequence with FIFO/FEFO method according to the advice of WH Coordinator.
  • Prepare the custom kits and labeling as per the requirements of the customer and ensure accuracy.
  • Assist in the monthly counting of physical inventory and report any discrepancies to the Asst. Distribution Manager.
  • Check the expiry of the stock on a regular basis.
  • Remove the expired items and dispose of them as per the instructions of the Asst. Distribution Manager.
  • Report any damaged or missing items to the Asst. Distribution Manager.

Transportation:

  • Prepare the products for delivery along with the Driver & Driver Assistant as per the Delivery Order.
  • Check that all products packaged are the correct quantity, type, and quality as per the supplier documents and against the internal Quality Inspection Form.
  • Assist the Drivers and Driver Assistant with the loading and offloading of the products to ensure that no products are damaged in the move.

Admin:

  • File all supporting documents related to the products that are being received or shipped.
  • Accurately update all data into Netsuite and manual recording systems by scanning and uploading the documents.
  • Update and handle the DMS project.
  • Comply with all instructions from the Asst. Distribution Manager.
  • Maintain a clean Warehouse to guarantee a safe environment for Zahrawi employees to work in.

  • Assist and report to Operations Manager to ensure smooth daily operations.

  • Maintain warehouse cleanliness and take responsibility to keep the workplace safe and organized.
  • To ensure smooth collection and delivery of goods to/from various locations around UAE. Company vehicle will be provided for delivery purposes.
  • Any other ad hoc duties.

Requirements

  • At least a High School certificate or Diploma in Logistics or related field.
  • At least 2 years of working experience in Warehouse/Logistics/Supply Chain
  • Proficient in using computer softwares, e.g. Microsoft Office and Inventory Management System
  • Hardworking, possess a positive work attitude
  • Able to carry a manual load of 20kg is a must
  • Has a safety conscious mind set
  • Team player and self-driven
  • Able to speak basic / conversational English
  • Possessing a valid forklift license and driving license is a must

Summary: We are looking for a highly organized and motivated Assistant Production Manager with experience working in-house or within an agency; managing commercial video and/or photo campaigns, beauty photoshoots, and social content. You should be used to working in a fast-paced environment, and motivated to work as part of an in-house Production team to create content that will be used across traditional and digital platforms. You’ll be part of a close-knit team, managing requests from the global marketing team and social team, as well as any other departments, in-house, meeting all cross-functional content requirements.

You must be comfortable communicating and negotiating with multiple suppliers and also have the ability to juggle multiple projects at the same time.

Please note that this role is a 12-month fixed-term contract.

Essential Duties and Responsibilities:

  • Pre-Production Planning: Assist in scheduling shoots, booking talent, securing locations, applying for shoot permits, and managing call sheets.
  • On-Set Coordination: Oversee shoot logistics on shoot days, from equipment and product setup to ensuring the crew is looked after and ready to roll.
  • Finance: Maintain budget/cost tracker, liaise with finance to ensure freelancer/vendor payments are on track, including petty cash, and credit card reconciliations.
  • Administration/Documentation: Maintain accurate production records, including release form trackers, Pos, and New vendor trackers.
  • Inventory Planning: Monitor stock levels and coordinate replenishment orders in collaboration with supply chain and demand planning teams.
  • Vendor & Talent Liaison: Communicate with freelancers, agencies, models, and glam teams to ensure correct documents are compiled for new vendor setup.
  • Team Coordination: Coordinate internal production teams, including videographers, editors, and motion graphic designers, to ensure seamless workflow and project execution.
  • Client Liaison: Act as the primary point of contact for internal stakeholders, maintaining clear communication and managing expectations throughout the production process.
  • Problem-Solving: Identify potential production challenges and proactively develop solutions to ensure smooth project execution.
  • Post Production Support: Collaborate with the post-producer to ensure timely and high-quality completion of all projects.
  • Experience: 3-5 years of experience in production management, preferably within an agency or in-house at a similar brand.
  • Technical Skills: Proficiency in production tools and software, including project management tools and video production equipment.
  • Organizational Skills: Exceptional organizational and time-management skills with the ability to handle multiple projects simultaneously.
  • Communication: Strong interpersonal and communication skills, with the ability to collaborate effectively with diverse teams and stakeholders.
  • Creativity: A keen eye for detail and a strong creative vision, with the ability to bring ideas to life through multimedia content.
  • Problem-Solving: Strong analytical and problem-solving abilities, with a proactive approach to addressing challenges.
