About the Role
As Programming Coordinator, you’ll help drive the heartbeat of our live and experiential events. Working closely with the Programming Manager, you’ll coordinate the planning, scheduling, and execution of dynamic content – from talent bookings to show timelines – ensuring every element is aligned, polished, and ready to go live.
What You’ll Do
• Support the creation and management of event programming schedules, content formats, and calendars
• Coordinate with artists, speakers, performers, and cultural partners on logistics, deliverables, and requirements
• Liaise with internal teams (creative, production, operations) to align programming goals and feasibility
• Track contracts, technical riders, and program assets, ensuring all materials are submitted on time
• Manage databases, programming grids, and run-of-shows with accuracy and updates
• Assist with onsite event execution, including rehearsals, show cues, and talent management
• Conduct research on new talent, cultural trends, and experiential formats to inform future programming
• Document post-event reports, programming feedback, and performance metrics

The Assistant Experience Programming Manager supports the Experience Programming Manager & Director in bringing the festival’s entertainment and guest facing activities to life. You’ll help operationalize the curated program across all zones, manage suppliers, performers, and partners, and troubleshoot on site challenges to ensure seamless visitor experiences.
Key Responsibilities- Translate the festival program into detailed operational schedules & delivery plans under senior guidance.
- Manage daily coordination with suppliers, performers, and partners to ensure readiness & quality.
- Supervise specific zones or activations on site, ensuring activities run on time and meet LINKVIVA’s standards.
- Act as an on the ground problem solver; escalate major issues to the Manager/Director.
- Support crowd flow, safety, and audience engagement via collaboration with operations, H&S, and security teams.
- Ensure branded activations / partner led experiences are smoothly integrated into the wider program.
- Deliver daily zone reports on performance, engagement, and operational issues.
- Step in for the Manager when needed to ensure continuity across zones.
- Contribute to post event reporting, sharing insights from live delivery.
- Prior experience in live events, festivals, or entertainment programming.
- Strong track record in zone management and supplier/talent coordination.
- Skilled at troubleshooting & decision making under pressure.
- Experience working with creative, technical, and operational teams.
- Excellent organizational & reporting skills.
- Cultural awareness of UAE/GCC audiences.
This is a festival site based role. The candidate must be present on location throughout the full duration of the festival — including build, rehearsals, and live days — to ensure programming runs seamlessly.
