Key Responsibilities:

  • Efficiently manage reception duties, including welcoming and assisting patients, visitors, and staff.
  • Handle administrative tasks such as document management, filing, and maintaining records.
  • Be actively involved in sales activities, promoting clinic services and handling inquiries.
  • Take charge of daily clinic needs, ensuring a smooth workflow and efficient operations.
  • Prepare and generate reports as needed by the management.
  • Maintain a presentable appearance at all times to reflect the professionalism of Medical Center.

Qualifications:

  • Proficiency in both Russian and English is mandatory. Knowledge of other languages is an advantage.
  • Proactive personality with excellent interpersonal and communication skills.
  • Previous experience in administration, reception, or customer service is preferred.
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Strong organizational skills and attention to detail.
  • Sales-oriented mindset and a willingness to actively engage in promotional activities.

Working Hours:

  • Monday to Friday: 10:30 AM - 7:00 PM
  • Saturday-Sunday: Off

We are seeking a highly organized and empathetic individual to fill the role of Medical Front Desk Coordinator. This is an exciting opportunity for someone who enjoys providing exceptional customer service, working effectively in a fast-paced environment, and managing administrative tasks.

Key Responsibilities:

  • Answer incoming calls and respond to routine client inquiries with professionalism and courtesy
  • Assist clients with booking appointments and maintaining accurate records
  • Prepare invoices, claim forms, and process payments in a timely manner
  • Handle client feedback and concerns, escalating issues to the relevant party as needed
  • Maintain accurate and up-to-date client information in the data entry system
  • Organize doctors' and instructors' schedules daily
  • Update the weekly class schedule on the data entry system
  • Monitor office supply levels and ensure timely replenishment
  • Provide excellent service during Body Composition Analysis and infrared sauna sessions
  • Process payments, print credit card reports, and reconcile petty cash at the end of each day
  • Ensure patients are informed and engaged throughout their wait time
  • Address client complaints and resolve issues promptly
  • Regularly review website functionality and report any updates or changes
  • Maintain a clean, organized, and dust-free workspace
  • Respond to all email, WhatsApp, Instagram, and Google Messages requests in a timely manner
