Job DescriptionJob Summary:
The Cluster Reservations Agent is responsible for handling reservations, inquiries, cancellations, reconversion and booking extensions in an attentive, courteous and efficient manner. Their responsibility also includes quoting available rates, upselling and cross-selling to maximize room revenue according to our Brand Standards. They are to work with the Sales Department in obtaining and effectively maintaining business.
Responsibilities:
- Answer all incoming calls promptly, in an attentive, courteous, efficient manner and maintaining excellent call audit scores.
- Answer guest inquiries about hotel services, facilities and hours of operation.
- Enter reservations into the computer according to standard operating procedures.
- Book room reservations while focusing on maximizing room revenue and average rate using standard rate quoting scenario at all times. Up sell rooms and cross –sell other amenities and facilities when possible.
- Reconversion of cancelled reservations.
- Communicate and work closely with the Sales Department and Front Office.
- Maintain accurate files and reports.
- Handle all special reservations, to include V.I.P. reservations, packages and discounts.
- Ensure that all e-mail correspondence is answered in a professional manner within the response time frame.
- Post no-show revenue daily, if required at property.
- Communicate rates and availability to wholesalers.
- Ensure proper Billing Instructions are updated on each booking to avoid any rebate or refunds.
- Ensure all guest requirements are properly noted on the booking and communicated with the departments involved
- Complete tasks on the daily reservations checklist
- Be fully aware of the Hotel’s promotions and offers
- Assist with processing travel agent commissions as requested.
Qualifications and Skills:
- Atleast 2 years of experience working with the reservations department in a 4/5*property.
- English Proficiency both written and verbal.
- Proficiency in other languages is a plus.
- Degree/Diploma in Training and Development or Hotel Management.
- Working knowledge of Opera PMS and Microsoft Office is essential.

**What we need from you**
The ideal candidate must have 1 to 2 years of progressive work-related experience in the same role in a 4* or 5* city hotel in Dubai and should be familiar with opera. She/he should have strong capabilities in handling technicality of revenue-generating mediums & organizing, detail-oriented and, the ability to work under pressure of deadlines and ever-shifting priorities in a fast-paced environment. Responsibilities:
Conduct outgoing calls to existing guests to offer extension of stays or promotions
Approach customers in advance and follow-up about renewals
Upselling services to current guests and potential guests who wish to book
Respond to booking inquiries (phone call, text message, WhatsApp, email, etc.)
Discuss rates when needed with Revenue Manager, BDM to confirm a reservation or extension
Establish and handle connections with Travel agencies and other partners for long-term partnership.

Answer to guest inquires via OTA channels such as Booking.com, Airbnb, etc.
Follow up with guests to receive documents/information prior to their arrival.
Process the documents (such as crop the image, upload into the system, etc.).
Record guests' information and documents in Company’s system as well as DTCM (check ID validity, guest age, etc.)
Send email to community / register guests prior their arrival with the building.
Constantly coordinate with team members to have issues solved.
Work with issue escalation and provide reports as required by management.
