Job Description

Responsible for carrying out given administrative and clerical tasks on a daily basis internally and externally. This may include providing support to agents and employees, as per the requirements.

Have in-depth knowledge for registration of property in Authority portals such as Oqood, Title deed, etc.

Providing registered information and queries to respective department/s.

Preparing SPA's and entering relevant data on the Property Management Software.

Responding to emails from clients regarding Oqood, SPA, SPA booklet, and documentation. Coordinate with respective department heads/admin and respond accordingly in a timely manner.

Coordinating with the Finance team and following up by emailing receipts and invoices about payments received and due. Keeping track of all payment-related information about the clients.

Providing information about the company and projects to concerned external agencies.

Staying up to date with company offers by coordinating with concerned departments (Sales, Marketing, etc.)

Assisting clients with signing of legal documents concerning project sales in the office (SPA's, Handover Forms, etc.)

Coordinating with agents regarding the collection & organizing of clients' relevant documents.

Maintaining and updating properties & clients database followed by the department manual.

Coordinating with the concerned department in relation to shipping legal documents to clients and, if necessary, being the point of contact for sending and receiving documents from clients.

Maintaining prompt follow-up with the concerned parties regarding document shipments.

Managing storage and record keeping of all SPA's related to the clients.

Maintaining and emailing necessary documents to clients for signature and information purposes.
