The role of the Admin Coordinator is crucial in managing corporate travel arrangements for employees within the organization.
Job BriefThis position entails coordinating all aspects of corporate travel, including booking flights, hotels, and other related services.
Key Responsibilities:- Prepare correspondence, memos, letters, and presentations as per supervisor's request.
- Arrange administrative tasks, such as NetSuite requests, when necessary.
- Support seat and cabinet location arrangement for new joiners and maintain seating plans with manager preferred assignments.
- Ensure update of Admin Shared folder by maintaining its current state.
- Collaborate with HR and Admin teams on general activities whenever required.
- Coordinate employee travel arrangements within and outside the country, including travel insurance, hotel bookings, and flight ticket bookings.
- Maintain agreements with travel agencies for procuring flight, international hotel bookings, rent a car, travel insurance, and entry visas for employees, VIP suppliers, and visitors.
- Arrange bookings according to requested details, secure necessary approvals, and attach documents before proceeding with any booking request or supply order.
- Provide dummy tickets for visa purposes (for UAE employees).
- Organize travel-related invoices, including arranging information with line manager approvals and sharing them with finance highlighting billing instructions to respective department budgets, and keep copies in master files for records.
- Coordinate with accounts payables department regarding payment requests and invoices payments, with all needed approvals and attachments, for hotel, meeting reservations, and any other requests that need to be paid, requested by sales team.
- Coordinate with sales team regarding account charging of invoices for international travel and events.
- Issue payment advises to hotels, suppliers, and others once cheques are ready for collection as advised by accounts payables team (to ensure payment collection on time).
- Ensure all booking charges are properly billed to company and any extra charges are under each guest specified in each booking (to avoid unnecessary charges being billed to company).
