What You'll Be Doing
As the Executive Assistant, you will play a critical role in overseeing a wide range of administrative, operational, and support functions to ensure the efficient and effective day-to-day operations of the business.
- Manage the CEO's diary and appointments.
- Screen incoming calls and correspondence and respond independently when required.
- Liaise with relevant individuals, departments, and external customers and suppliers on CEO's requests and submissions.
- Assist in presentations and other reports and documents as needed.
- Manage in coordination with travel department travel plans, itineraries, expenses.
- Assist in planning and organizing visits of selected visitors.
- Create and maintain database, spreadsheet files and digitally archive documents, records, and reports.
- Arrange and coordinate events etc. when required.
- Proof reading of material (emails, documents, social media posts, etc).
- Attend meetings alongside or on behalf of the CEO to take detailed minutes and gain insights into key messages from brands and partners.
- Create and maintain updated pending "to do" lists.
- Keep CEO up to date with deadlines.
- Ensure the preparation of meeting rooms for any CEO meeting.
- Greet and host all external visitors.
- Coordinate with IT and ensure IT equipment is up to date.
- Support the CEO with managing and optimizing social media platforms, including LinkedIn.
- Provide copywriting support for CEO-related materials such as press releases, internal and external conference speeches, and other communication needs.
