We're looking for an experience Executive Assistant to work closely with our CEO. This pivotal role is perfect for someone who excels in a dynamic, fast-paced, and high-growth environment. Based in Dubai, you'll be instrumental in optimizing our CEO's effectiveness and ensuring seamless operations. We're looking for someone with an uncanny ability to anticipate needs; someone who can proactively identify solutions.
Your contributions will directly enable our CEO to concentrate on critical big-picture goals, global expansion, and innovative new initiatives. Our ideal candidate has outstanding organizational skills, impeccable communication, and the capacity to work autonomously with the utmost discretion and confidentiality within our diverse international team.
Responsibilities Include But Are Not Limited To

  • Manage and optimize a dynamic and complex calendar for our CEO, including scheduling meetings, appointments, and events across multiple time zones.
  • Manage both work and personal commitments
  • Resolve scheduling conflicts, and ensure our CEO is thoroughly prepared and briefed for all commitments.
  • Oversee our CEO's inbox, drafting, reviewing, and dispatching emails and other correspondence on their behalf.
  • Act as a central liaison for internal and external stakeholders, maintaining professional and clear communication.
  • Identify potential issues and develop effective solutions, often anticipating challenges before they arise.
  • Demonstrate flexibility and resilience in managing diverse demands and unexpected situations calmly and effectively.

Must Have's
  • You'll need at least 7+ years of experience as an Executive Assistant, supporting top-level executives.
  • You'll have a proven track record of managing complicated global schedules, really showing off your organisational skills
  • Experience working with teams from different cultures and time zones is a big plus Fantastic written and verbal communication skills in English
  • You'll be a whiz with Google Workspace, Slack and Notion, or can pick up new tech quickly
  • Great people skills – you'll be able to build trust and good relationships with anyone, anywhere.
  • Fluency in Arabic is required

We're looking for an experience Executive Assistant to work closely with our CEO. This pivotal role is perfect for someone who excels in a dynamic, fast-paced, and high-growth environment. Duties & Responsibilities:

Executive & Operational Support
  • Manage the CDTO's calendar, travel, and scheduling with precision, ensuring optimal time management.
  • Organize and prepare for meetings (internal/external), including agendas, materials, presentations, and action points.
  • Track and follow up on key deliverables from meetings, ensuring accountability and timely completion.
  • Act as the primary liaison between the CDTO and internal/external stakeholders, ensuring smooth communication flow.
Project & Delivery Coordination
  • Support the execution of digital transformation and innovation projects by tracking tasks, aligning owners, and monitoring deadlines.

  • Conduct research and prepare high-quality, data-driven presentations, briefs, and reports.
  • Provide light technical support (e.g., system onboarding, digital tool setup) to improve team efficiency and adoption of digital platforms
Job Specifications
  • Minimum 5+ years of experience as an Executive Assistant, Project Coordinator, or similar role supporting senior or C-level executives.
  • Strong background in technology, digital transformation, live entertainment, sports, or related industries.
  • Proven track record in managing complex schedules, executive priorities, and multi-stakeholder coordination.
  • Familiarity with digital transformation initiatives, IT systems, or tech operations is highly desirable.
  • Bachelor's degree in Business Administration, Information Technology, or related field
  • Master's degree preferred
  • Project management certifications (PMP, Prince2, Agile/Scrum) are an advantage.
Required Skills

This role exists to ensure timely, accurate handling of high-volume, time-sensitive client communications, particularly around IRS/state tax notices, while maintaining strict data security and confidentiality. The position will streamline call handling, inbox triage, and scheduling, and improve CRM data integrity during a migration from Keap to GoHighLevel. By providing informed first responses and routing, the role frees senior staff to focus on complex tax work and client advisory.

The Impact you'll make
Client Communications and Tax Notice Triage
  • Triage and manage Outlook inboxes; draft clear, compliant email responses; escalate complex issues promptly.
  • Review IRS/state letters and draft suggested replies for approval, using correct tax terminology and guidance.
  • Use Drake (or similar tax software) to look up client situations and provide informed first responses or route to the correct team member.
Call Handling and Scheduling
  • Handle inbound calls via RingCentral web; qualify or route leads; book client calls/meetings.
  • Coordinate with answering services to reduce missed/mishandled calls and ensure seamless handoffs.
  • Manage calendars in Outlook/Teams; schedule internal/external meetings and maintain an organized cadence.
CRM and Data Hygiene
  • Add leads, update statuses, and manage tasks/pipelines in Keap; support migration and adoption of GoHighLevel.
  • Maintain data quality, standardize fields/pipelines, and ensure information completeness and accuracy.
  • Document simple workflows and SOPs to reduce friction and improve consistency.
File and Knowledge Management
  • Maintain shared file organization in OneDrive/Google Drive with logical naming and access controls.
  • Keep process documentation up to date; leverage Copilot/ChatGPT responsibly for draft content and checklists.
Compliance, Security, and Professionalism
  • Safeguard client confidentiality and follow firm policies on data access, storage, and communication.

Skills, Knowledge and Expertise

Required:

  • 2+ years of US tax-industry experience handling IRS/state notices and related client communications.
  • Working knowledge of IRS individual income tax forms (1040 series) and common tax terminology.

  • Strong English communication (written and verbal) with proven client-facing experience.
