The Radiology coordinator plays a key administrative and operational support role, ensuring smooth workflow, effective communication and quality patient care.
Responsibilities
RESPONSIBILITIES
- Oversee the day-to-day coordination of diagnostic imaging service across all modalities, ensuring smooth departmental operations.
- Manage appointment scheduling for various imaging modalities, (NM, IR, Breast Imaging, MSK).
- Manage radiology scheduling workflows to maximize equipment utilization and reduce patient wait times.
- Serve as the primary point of contact between patients, referring physicians, nursing staff and front-desk teams to streamline communications.
- Monitor and verify insurance approvals and pre-authorization in line with the compliance standards.
- Ensure patients receive preparation instructions and confirmation calls for their appointments.
- Handle patient inquiries and resolve minor complaints.
- Maintain updated and accurate data within the hospital systems, including patient demographics, orders and imaging records.
- Support quality and safety initiatives, including radiation safety protocols and infection control standards.
- Assist with internal audits, departmental reporting, and other administrative tasks assigned by senior management.
- Support radiologists with workflow management by ensuring timely access to patient records, prior imaging, relevant clinical notes.
- Operational efficiency: Ensure seamless coordination of imaging appointments and procedure readiness.
- Data accuracy: Maintain up-to-date, error-free scheduling and patient information across all systems.
- Regulatory Compliance: adhere to DOH/HAAD guidelines, patient confidentiality laws, and imaging department protocols.
- Patient satisfaction: support a high standard of care through timely service delivery and effective communication.
- Inter-departmental Coordination: Act as a reliable liaison between medical, technical, and administrative teams.
- Issue resolution: Proactively identify and address scheduling conflicts, referral issues or workflow disruptions.
- Manage and coordinate imaging appointments based on priority and modality.
- Communicate with radiologists, technologists, and nursing teams to align daily workflows.
- Verify referral completeness and ensure necessary preparations are communicate via appropriate staff.
- Maintain accurate entries in the Hospital system.
- Assist in monitoring reporting timelines and addressing urgent imaging cases.

The radiology scheduler plays a vital role in ensuring patients are efficiently scheduled for imaging services .
RESPONSIBILITIES
- Schedule and coordinate diagnostic imaging appointments (X-ray, CT scan, MRI, US NM and IR) based on physician referrals, urgency and equipment availability, ensuring efficient slot utilization.
- Screen and verify physician orders, ensuring accuracy of requested imaging procedures, patient details and any necessary indications or priority levels (e.g., STAT, routine, follow-up).
- Confirm insurance authorization and eligibility, liaising with insurance coordinators when necessary, and flagging incomplete documentation in line with hospital billing and compliance standards.
- Enter and update appointments in hospital systems accurately, including cancellations, modifications, and no show documentation.
- Provide patients with pre-procedure preparations (e.g., fasting, contrast dye protocols, medication restrictions).
- Call patients to confirm appointment dates and time.
- Track and monitor daily appointment flow, flagging delays, overbookings, or equipment issues to ensure continuity of patient care and efficient utilization.
- Coordinate with the Radiology team to inform them of daily schedules, urgent cases, and changes in bookings.
- Deliver excellent front-line service, ensuring every patient interactions is handled with professionalism, empathy, and confidentiality in line with hospital standards
- Clear communication with patients ensuring they are aware of appointment detail.
- Inform patients of any changes, delays or rescheduling.
- Accurately enter patient data, orders, appointment details into the hospital system.
- Enter patient information into HIS and maintain accurate records
- Inform patient and their caregiver of hospital procedures, polices and protocols
- Schedule and coordinate diagnostic imaging appointments

- Education: Minimum of high-school diploma
- Experience: 1-2 years in scheduling or administrative roles, ideally in radiology or hospital environments.
