About the RoleWe are seeking a highly organized and efficient Document Controller to join our team in Dubai, United Arab Emirates. The successful candidate will be responsible for managing, controlling, and maintaining all project documentation and ensuring compliance with company standards and procedures.
- Establish and maintain a comprehensive document control system for all project-related documents
- Receive, log, and distribute incoming and outgoing documents in a timely manner
- Ensure all documents are properly filed, stored, and easily retrievable
- Maintain and update document registers, databases, and archives
- Implement and monitor document control procedures and workflows
- Assist in the preparation and distribution of reports, presentations, and other project-related materials
- Collaborate with project teams to ensure proper document version control and revision management
- Conduct regular audits to ensure compliance with document control procedures
- Train and support team members on document control processes and systems
- Assist in the implementation and maintenance of electronic document management systems
What do we need from you
- Bachelor's degree in Business Administration, Information Management, or related field
- 5 years of experience in document control or similar role, preferably in construction, engineering, or related industries
- Proficiency in using EDMS system (Aconex) document management systems and Microsoft Office Suite (Word, Excel, PowerPoint)
- Strong knowledge of document control processes, best practices, and industry standards
- Excellent organizational and time management skills with a keen attention to detail
- Ability to work efficiently in a fast-paced environment and manage multiple priorities
- Strong communication and interpersonal skills
- Experience with database management and data entry
- Familiarity with filing and archiving systems

OVERVIEW OF ROLE
Subsea7 is hiring a Document Controller to manage project technical/supplier documentation. He/she is responsible for documents format check and ensures that the project documentation respect the project format.
The Document Controller setup the document process within the project and ensures that the documentation flow is tracked and happens smoothly. He/she provides information to the project team regarding the document status. In addition to that, assembles the final documentation according to the structure which is given to him/her. He/she is also responsible to archive the project technical documentation.
All personnel are expected to contribute to creating a positive HSEQ culture within Subsea 7 and ensure familiarity with and adherence to local HSEQ codes and practices.
SPECIFIC KEY RESPONSIBILITIES & ACTIVITIES
• Setup the documentation process and issue the Project Document Control Procedure
• Setup the Electronic Document Management System (EDMS)
• Cooperate with Engineering and Planning disciplines to fill document numbers and format information in the Master Document Register (MDR). Ensure that all documents are referenced
• Cooperate with SCM to fill document numbers and format information in the Suppliers Document Registers (SDR). Ensure that all documents are referenced
• Present the document process and format at supplier Kick-Off Meetings
• Control and correct documents format
• Check and update metadata in the EDMS
• Ensure that updated documents are available for project team
• Ensure that process given in the project Document Control Procedure is respected
• Dispatch documents for internal review or approval and follow-up internal flow
• Issue officially documents to external stakeholders and track transmissions
• Receipt, track and dispatch official return comments
• Reforecast document issue dates in liaison with Engineering and Planning disciplines
• Create and issue status reports to project team and to client
• Compile Final Documentation according index established by project
• Archive project documentation (hard and electronic copies)
• At project end, produce and present to the Document Control department a Lessons Learnt
• Preferably with understanding and exposure to Saudi Aramco document control process
What experience would we like you to have?
PERSON SPECIFICATION
• Fluent in english
• MS Word, Excel and Adobe Acrobat software skills
• Good comprehension of documentation flow and process
• Minimum 5 years of experience in Oil & Gas Industry
• Minimum 3 years of experience in ARAMCO projects
• Knowledge of documentation planning
• A knowledge of one or several EDMS would be appreciated

**Job Description**
AECOM is seeking an experienced Document Controller for a major Roads and Bridges project located in Dubai. The Document Controller will provide efficient administrative support to the Project including typing, telephone and reception duties to facilitate effective communication and the efficient running of the Project.
**Job Duties**
+ Liaise effectively with the Project Manager, Engineers, Site Staffs, and external contacts on behalf of the project office.
+ Coordinate and organize meetings/seminars within the project office, and with external clients, and assist with the preparation of presentations, agendas and minutes.
+ Provide efficient word processing, clerical, photocopying, filing and minute taking duties in respect of the Project.
+ Screen incoming mails and telephone calls, action responses & redirect correspondence where necessary.
+ Organize and coordinate travel requests for the Project Manager and other Engineers, relating to the project where and when required.
+ Maintains confidential records and filing of reports, correspondence and related material for ease of retrieval.
+ Performing secretarial, administrative, organizing and research tasks requiring a sound understanding of organization policy and structure.
+ Coordinating and ordering of stationary and office supplies.
+ Propose improvements to internal processes and procedures for the efficient and effective administration of all office procedures within the project office.
+ Keep computerized records of all Service Users who are referred to the project.
+ Other duties as assigned by the Project Manager.
**Qualification**
+ Bachelors Degree or Diploma or equivalent to completion of the twelfth grade. Along with typing speed of 45 words per minute.
**Experience**
+ Minimum 5 years of experience within similar projects, with minimum 3 years in UAE.
+ Middle East experience preferred

+ Organize, maintain, and track documents, ensuring their accuracy, integrity, and accessibility both online and offline.
+ Version Control: Manage document versions and ensure that only the latest versions are available to relevant stakeholders.
+ Review documents for completeness, accuracy, and compliance with organizational standards and regulatory requirements.
+ Distribute documents both online and offline to authorized personnel while maintaining confidentiality and data security.
+ Retrieve documents documents both online and offline as needed by authorized personnel, ensuring timely access to information.
+ Maintain detailed records of document transactions, including distributions, revisions, and approvals.
+ Provide necessary inputs for progress reports and report generation for MIS.
+ Follow up with designated personal for time bound turnaround of documents flow.
+ Ensure that documents adhere to quality standards and follow established procedures.
+ Provide training and support to staff members on document management systems and procedures.
+ Ensure all documents are accurate and free from errors, maintaining high standards of quality.
+ Maintain an orderly system for document storage and retrieval, ensuring easy access to information. Maintain Track of Minutes of Meetings, collate signatures from stake holder representatives and circulate to attendees of the meeting.
+ Support the Project team in preparing or Audits
+ Familiarity with document management software and tools such as Wrench, Think Project, SharePoint, Documentum, and Aconex.
+ Strong verbal and written communication skills to effectively interact with team members and stakeholders.
+ Ability to manage multiple tasks and prioritize effectively to meet deadlines.
+ Address and resolve issues related to document management efficiently.
+ Understand and apply regulatory requirements and standards related to document control, such as ISO 9001.
+ Oversee the accuracy, consistency, and reliability of company documents through established standards and procedures.
+ Proficiency in entering and managing data accurately within document management systems.
+ Maintain detailed records of document transactions, including distributions, revisions, and approvals.
+ Adapt to changing circumstances and requirements in document management processes.
+ Top-class typing and report writing skills.
+ Detail-focused document organizing abilities.
+ A bachelor's degree in business administration, document management, and record management.
+ 5-10 years of experience in document management, archive management, or records management.
+ Minimum 5 years experience in CCGT or OCGT or Oil and gas or other industrial projects.
+ Knowledge of document management systems like Sharepoint, OnlyOffice, DocuWare Cloud, Rubex.
+ Proficiency in document capturing systems like CAPSYS Captue and Xerox DocuShare.
+ An excellent grasp of Microsoft Office programs.
+ Familiarity with the relevant regulations regarding document keeping and handling.
+ Able to proactively manage database changes using software management systems.

**Job Description**
* Maintains an established data distribution system and schedule for the assigned project based upon client, project, and supplier requirements.
* May revise system or schedule as required to ensure timely approvals and distribution.
* Ensures changes to document in a timely fashion in order to meet set deadlines.
* Responsible for coordination with other parties to make sure document edits are made and proofed.
* Tracks and keeps records of documents.
* Follows standardized procedures but may have to use discretion to complete project.
* Ensures document tracking and production system is maintained.
* Prepares and maintains a document control system for all forms of documentation.
* Makes copies of drawing for production and other company employees.

We are seeking a highly organized and detail-oriented Document Controller to join our team in Abu Dhabi, United Arab Emirates. As a Document Controller, you will be responsible for managing and controlling all project-related documents, ensuring accuracy, completeness, and compliance with company standards.
Key accountabilities for this position include but are not limited to:
- Transmit, receive, record and distribute e-mail correspondence and documentation according to established procedures.
- Assist with registration, filing and control of incoming and outgoing documentation.
- Perform database input and word-processing functions.
- Assist with the reproduction of drawings, specifications and other documentation.
- Ensure that the confidentiality of sensitive information is protected.
- Keep the necessary logs and registers to track documentation / progress of work.

**Qualifications:**
