Job Description
Minimum Experience:- Minimum 8 years of experience in vessel operations or technical management, including at least 2 years as a Fleet Manager.
Minimum Qualifications:- Chief Engineer’s Certificate of Competency
Functions
To be responsible for the safe and efficient operation of designated Fleet of ships. The Fleet Manager has to ensure that assigned vessels are managed and operated to the highest standards, are in compliance with legal and regulatory requirements and in accordance with Company policies and procedures ensuring client satisfaction.
Role
• Be a visible driving force in promoting safety of crew members and all who may work on designated vessels, from stevedores to contractors, pilots to shipyard workers.
• Ensure that ships always meet statutory, class, flag state and environmental requirements as well as regional requirements where vessels may trade.
• For technical, operational, and budgetary control of designated fleet of ships.
• Monitor designated Fleet’s planned maintenance, inventory, and purchase orders to ensure the Fleet ships are properly maintained and that sufficient spares are carried onboard to deal with planned maintenance and critical machinery breakdowns.
• Keeping the Fleet Director informed of Fleet performance and bringing this attention any areas if of concern within the Fleet.
• Carry out Fleet manager’s ship visits when appropriate, to monitor condition and performance providing advice to the ship manager when required.
• Working with and ensuring the FSSEM is kept fully informed of all shipboard defects and non-conformance matters relating to items of safety, critical equipment, security and pollution prevention.
• Liaising closely with SPSM on crew matters to ensure that appropriate officer and crew skills are deployed for the ships in the Fleet.
• Where necessary and in consultation with FSSEM, conduct internal audits of the ship’s safety system to ensure compliance.
• Participate in Safety Management System and Environmental review meetings.
• Dealing with non-conformities covering designated Fleet ships and, liaising with FSSEM to ensure corrective action is applied.
• Liaising with FSSEM and Ship Manager to investigate accident reports, machinery failures and any insurance claims; ensuring that corrective action is applied.
Tasks
Tasks shall include but not be limited to:
People Management
• Lead employees to meet the organization's expectations for productivity, quality, and goal accomplishment.
• Provide oversight and direction to the employees in the team in accordance with the organization's policies and procedures.
• Plan staffing levels and work with Human Resources to recruit, interview, select, hire, and employ the right people within budgetary guidelines.
• Coach, mentor, and develop staff, including overseeing new employee onboarding and providing career development planning and opportunities.
• Consciously create an engaging workplace culture that emphasizes the identified mission, vision, guiding principles, and values of the organization.
• Lead employees using a performance management and development process including goal setting, feedback, and performance development planning.
• Empower employees to take responsibility for their jobs and goals. Delegate responsibility, drive accountability, and provide regular feedback for continuous improvement.
• Manage and maintain effective employee work schedules including assignments, job rotation, training, vacations, and paid time off, cover for absenteeism, and overtime scheduling.
• Maintain two-way transparent communication. Appropriately communicate organization information through department meetings, one-on-one meetings, and appropriate email, IM, and regular interpersonal communication.
Management
• Make every effort to be aware of and understand your role in the event of a crisis.
• Make every effort to attend any relevant training, simulations and or meetings relating to Crisis Management
• Perform your role as best as possible in a calm and collaborative manner in line with the relevant policy and procedures in the event of a Crisis.
• Provide input and feedback towards the ongoing improvement of the Crisis Management framework and procedure.
Safety
• Take responsibility for the safety of myself and those around me by displaying safety leadership principles (i.e. Safety I’s & Accountability ladder).
• Challenging and stopping unsafe acts and behaviors or unsafe conditions.
• Comply with the Global Safety Standards, Polices and Operating Procedures.
KPIs
•Ensure 100% PAL adoption for all team members and review monthly.
•Proactively meet cost to serve and optimization ratio targets on a continuous basis.
•Increase engagement with crew through weekly/monthly inclusion in team meetings and Senior Leader Engagement (SLE) visits onboard.

• Ensure that vehicles are operated efficiently;
• Establish and monitor performance-reporting systems (i.e. track performance against goals, ensure car workshop managers provide quality regular reports, and provide regular updates to the CEO and the CFO);
• Installation and monitoring of telematics equipment ;
• Regularly evaluate operating procedures and create centralized best practices to ensure uniform performance throughout the company;
• Working knowledge of data analysis and performance/operation metrics;
• Outstanding organizational and leadership abilities

Key Roles & Responsibilities1. Vehicle Monitoring & Utilization
- Monitor and arrange company vehicles to ensure efficient and effective utilization with controlled costs.
- Conduct inspections to ensure vehicles are properly maintained, sanitized, and sent for timely inspection, repairs, and maintenance.
- Prevent misuse of vehicles through close monitoring.
- Must have experience handling a fleet size of 700+ vehicles .
2. Budgeting & Procurement
- Prepare budgets for new vehicle requirements and obtain necessary approvals before deployment.
- Assist in the purchase of new vehicles based on operational needs.
3. Transportation Services
- Coordinate transportation of personnel, documents, cash, or cheques within the UAE in a timely manner.
- Liaise with drivers and the Admin Manager for vehicle registrations/renewals (Mulkiya) and insurance for all company vehicles.
4. Compliance & Issue Management
- Monitor and report driver-related issues such as accidents, safety concerns, or licensing problems.
- Ensure driver compliance with UAE laws and regulations through training and awareness programs.
5. Cost Control & Record Keeping
- Maintain accurate records of all vehicles, including deployment and usage details.
- Monitor and control fuel, Salik, and miscellaneous costs.
- Maintain profit & loss data of vehicles assigned to projects or individuals.
6. Maintenance & Service
- Ensure timely servicing and maintenance of vehicles to prevent operational delays.
- Coordinate with third-party contractors/suppliers for vehicle-related requirements, ensuring timely payments and invoice processing.
7. Reporting & Documentation
- Prepare and submit reports, including cost and performance analysis, vehicle mileage, fuel consumption, and quarterly/annual reviews.
- Keep transport department policies and SOPs updated.
8. Additional Support
- Assist colleagues and carry out any other relevant tasks assigned by management.
9. Rent-a-Car Experience
- Proven experience in the rent-a-car industry, covering fleet management, customer service, and operational processes.
- Experience with vehicle leasing agreements, client coordination, and timely vehicle turnover.
- Ability to implement cost-control measures specific to rental operations.
- Familiarity with UAE market trends and rent-a-car compliance requirements.
Skills & Qualifications:
