Based in JAFZA, the Logistics Coordinator supports the smooth flow of inbound and outbound logistics for a medical devices company. The role involves coordinating with internal teams and external partners to manage shipments, ensure compliance with regulatory requirements (including MOH, Customs, and JAFZA), and maintain accurate documentation. Responsibilities include inventory tracking, vendor communication, permit handling, and adherence to GMP and quality standards across all logistics operations.
Responsibilities
- To ensure the implementation of the quality management system established in the Logistics department.
- To confirm the stock maintenance of the raw materials as per the manufacturing schedule.
- Coordinate and collaborate with other departments for example but not limited to the Warehouse, production, team.
- To ensure that the received raw materials/Packing materials are within the specification and approved vendor.
- Support QA and QC team once needed, mainly with the communication with the service providers related to inbound/outbound of materials.
- Collaborate with RA for any registration is needed (Admin/Logistics)
- To ensure the training of relevant staff (Logistics members) and proper implementation of the standard operating procedures in the workplace.
- To confirm that the procedures for incoming and outgoing materials from the manufacturing facility are followed.
- Negotiate contracts and service level agreements for third-party suppliers and/or service providers. Related to the warehouse.
- Work with multiple customers to ensure thatall inbound and outbound requests have been booked in a timely manner
- To obtain quotations from different forwarders/ service providers for the best selection.
- Work with suppliers and customers to confirm that all expedited loads are booked for the requested timelines
- Continually track and updates shipment status to customers
- Attends to Dubai Custom requirements and other government entities for example but not limited to SIRA/MOH/FANR/JAFZA, others.
- Fully responsible about the export/import permits of shipment with MOH/other government authorities.
- Resolve any issues that may arise during the shipping or receiving process
- Monitor and track the flow of goods into and out of the warehouse
- Ensure that proper paperwork requirements for all shipments and deliveries are prepared in an accurate and effective manner
- Coordinate with warehouse staff and other departments as required, on shipment times and deliveries.
- Follow up with our custom broker/agents on any documentation that is required when orders are placed.
- Follow and practice all GMP’s protocols as it relate to the logistics team and work in accordance with all Health and Safety policies and procedures to maintain a safe work environment
- Adhere to all company policies/procedures and regulatory compliance procedures.
- To manage the overall supply chain / Logistics operations as assigned by Supervisor or Manager.
- Create and maintain purchase, sales and Freight booking confirmations.
- Prepare and review the standard operating procedures in compliance with the quality management system for supply chain management.
- Place the POs and communicate it with the service providers in addition to using the required software for archiving and traceability
Requirements
- Bachelor’s degree in Logistics, Supply Chain Management, or a related field.
- Minimum 3 years of logistics or supply chain experience, preferably in the medical devices or pharmaceutical industry.
